    Marketing Event Coordinator

    REMOTE - USA

    The Marketing Event Coordinator will play a pivotal role in promoting, planning, and executing impactful events focused on medical cannabis care and patient certification. These include pop-up certification clinics, educational workshops, community outreach, and industry conferences. You'll actively support marketing-driven event logistics, promotional campaigns, vendor and partner relationships, and day-of-event activities to ensure each Leafwell event attracts targeted audiences, strengthens brand visibility, and provides a high-quality attendee experience. The ideal candidate is highly organized, creative, detail-oriented, and process-driven, comfortable managing multiple marketing and event-focused tasks simultaneously.

    Key Responsibilities:

    Event Planning and Coordination:

    • Support planning and organizing of events including pop-up clinics, workshops, conferences, and outreach activities.
    • Coordinate marketing and promotional logistics, including branding materials, signage, collateral, and promotional giveaways.
    • Assist with venue research and negotiaton, contract management, and coordinating setup and breakdown of event spaces.

    Vendor and Partner Relations:

    • Help identify potential vendors and event partners to support events.
    • Support the negotiation and coordination of vendor agreements, tracking deliverables and ensuring alignment with quality and budget expectations.

    Event Marketing and Promotion:

    • Secure partnerships/sponsors for each event.
    • Collaborate closely with the marketing team to develop engaging promotional campaigns, digital content, and targeted marketing materials to drive event attendance and local community engagement.
    • Assist in executing strategic social media plans, email marketing campaigns, and local outreach initiatives aligned with event goals.
    • Track marketing performance metrics, providing insights and recommendations to enhance future promotional efforts.
    • Develop and implement targeted canvassing strategies to promote events in key local markets

    On-Site Event Execution:

    • Provide hands-on support for event setup, operations, and tear-down under manager guidance.
    • Assist in troubleshooting and resolving event-day challenges promptly, maintaining professionalism, and delivering high-quality customer service.

    Event Evaluation and Reporting Assistance:

    • Collect attendee feedback through surveys, interviews, and informal discussions.
    • Help compile data and assist in drafting post-event summaries that highlight key metrics, successes, areas for improvement, and future recommendations.

    Process Documentation and Improvement Support:

    • Assist in developing and documenting processes to streamline event planning and execution.
    • Contribute ideas and feedback to continually improve the quality, attendee satisfaction, and operational efficiency of Leafwell events.

    Position Overview & Schedule Requirements:

    This is a full-time, exempt position requiring 40+ hours per week. The role involves weekday preparation, planning, and marketing-related duties in addition to attending and supporting events on-site. Candidates must be available to work at least three weekends per month, with events typically concluding around 9:00 PM. Flexibility to accommodate event schedules is essential.The ideal candidate will reside in Florida—preferably centrally located near Orlando—as frequent travel throughout the state is required.

    Our Ideal Candidate: Skills and Qualifications

    • Bachelor's degree in Marketing, Event Management, Communications, or equivalent relevant experience.
    • Minimum of 2 years of experience in event coordination or planning preferred.
    • Process-driven mindset with experience developing, documenting, and following established processes.
    • Excellent organizational skills and attention to detail.
    • Strong verbal and written communication skills.
    • Ability to multitask, manage time effectively, and meet deadlines.

    Operations Event Coordinator

    REMOTE - USA

    The Operations Event Coordinator at Leafwell manages and optimizes patient certifications' operational flow within the OMMU (Office of Medical Marijuana Use) database. This role requires meticulous attention to detail, proficiency with backend data systems, and a process-driven approach to ensure patient processing compliance, accuracy, and efficiency. The Coordinator will collaborate closely with internal teams, healthcare providers, and external stakeholders to streamline backend operations, improve database accuracy, and enhance patient experience.

    Key Responsibilities:

    OMMU Database Operations:

    • Manage patient certification processes within Florida’s OMMU database, ensuring accurate and timely submission, validation, and updates.
    • Regularly audit patient records and database entries for accuracy and compliance with state regulations.
    • Respond promptly to backend inquiries and issues related to patient certification status, troubleshooting, and escalating issues as necessary.

    Operational Coordination:

    • Collaborate with providers and support teams to maintain seamless patient processing workflows.
    • Identify operational bottlenecks and proactively implement process improvements for patient database management and certification operations.
    • Maintain thorough documentation of operational procedures, updating process guidelines as OMMU rules and system requirements evolve.
    • Manage inventory and reorders of print assets 

    Backend System Support:

    • Provide backend support for patient and provider account management, ensuring system functionality and resolving technical issues promptly.
    • Coordinate directly with technical teams and external vendors to report, troubleshoot, and resolve database or system errors affecting patient processing.
    • Facilitate training and support sessions for internal teams on OMMU database usage, operational compliance, and best practices.

    Reporting and Compliance:

    • Generate operational reports and analytics regarding patient processing efficiency, certification accuracy, compliance rates, and system reliability.
    • Monitor and report compliance with state regulations, identifying and addressing potential risk areas or operational inefficiencies.
